THE MOST IMPORTANT DATES AND DEADLINES YOU NEED TO KNOW AS AN ENTREPRENEUR!

We hope punctuality is your middle name. As an entrepreneur, you surely understand how crucial deadlines are for the smooth operation of a business. Delays can lead to serious issues, and penalties or interest charges certainly don’t benefit anyone.

If you’re unsure about what lies ahead this year or simply don’t have the headspace for dates, we’re here to help! Unfortunately, some accounting deadlines depend on various factors, so each case needs to be treated individually. However, we’ll do our best to briefly highlight the most important ones that should matter to you. This is the perfect time to dive into the topic at the start of the year. Don’t let a leg slip just because you didn’t put it on your calendar for the future.

Monthly deadlines

These are the ones you need to remember regularly every month. That’s why we’ll start as a reminder, because we assume you already know some or all of them.

  1. Submission of ZUS (social security) declaration and payment of ZUS contributions by corporations – 15th day of the month. This applies to capital companies such as LLCs (sp. z o.o.), joint-stock companies (S.A.), and simple joint-stock companies (P.S.A.).
  2. Payment of PIT/CIT installment 20th day of the month. Installments are paid monthly or quarterly and are later reconciled in the annual tax return.
  3. Submission of ZUS declaration and payment of ZUS contributions by entrepreneurs – 20th day of the month. This applies to sole proprietors and partners in partnerships.
  4. Submission of VAT return and payment of VAT – 25th day of the month. This deadline also applies to other VAT returns, such as VAT-UE, VAT-8, VAT-9M and others.

But that’s not all. Now we will move on to more specifics in your ,,entrepreneur’s calendar”.

Annual deadlines

As always, you need to stay aware of them every year. The period from January to June is the most critical half of the year in this context. It’s no coincidence that this post is being published now, in January. Get ready and take the time to review it thoroughly.

1. JANUARY – until 31/01

Submission of returns to the Tax Office: PIT-11, PIT-4R, PIT-8C, PIT-8AR

These returns primarily concern your employees. As a payer of ZUS contributions and PIT installments for your employees, you are required to submit all these documents. Based on them, employees will settle their incomes in their annual tax returns.

• Registration for ,,Maly ZUS Plus”

If you meet all the requirements, this is likely your only chance this year to take advantage of this option and reduce your social security contributions. The only opportunity to make this switch during the year is when your 2-year preferential ZUS contributions end. At that point, you can immediately make transition to the “Mały ZUS Plus”.

2. FEBRUARY – 15, 20, 28

• E-PIT (February 15)

Check your PIT return in the ,,Twoj e-PIT” application. If you are not running a business, your PIT is prepared by the Tax Office. Make sure to verify the accuracy of the data and the reliefs included (check our article for most common tax reliefs and see if you are entitled for any). Tax Office doesn’t have information about everything. So, if there’s a relief you’re entitled to but it’s missing, you’ll need to add it yourself. The final deadline for corrections and acceptance of PITs is April 30th. However, it’s better not to do it on last day. The sooner you accept your PIT, the faster you’ll receive any potential refund.

Change of taxation form and method of tax installments payments (February 20)

This is the final deadline to change your taxation form and the method of installments payments (switching from monthly to quarterly payments or vice versa). Consider this carefully and submit the CEIDG-1 form with these changes online or at the Office. We encourage you to read our article about taxation forms, which will definitely be helpful in this case.

• Providing returns to employees (by February 28th): PIT-11, PIT-8C, IMIR

3. MARCH – until 31/03

• Financial Statement

If you keep accounting ledgers, you are required to prepare and sign the financial statement by this deadline. This is mandatory for corporations (sp. z o.o., S.A., P.S.A.) and other companies with turnovers exceeding 2.5 million EUR. For others, keeping accounting ledgers is optional.

• CIT-8 return

CIT-8 is the annual tax return for legal entities. This also applies to limited partnerships and limited joint-stock partnerships, even though they are not considered legal entities.

• IFT-2R declaration

IFT-2R applies to certain services (e.g. accounting, marketing, or management services) purchased from foreign companies that do not have a registered office in Poland.

4. APRIL – until 30/04

Annual tax returns: PIT-28, PIT-36, PIT-36L, PIT-37, PIT-38 and PIT-39

Every individual with taxable incomes for the year 2024 must submit the appropriate return. Type of the return depends on the type of earned incomes.

5. MAY – until 20/05

• Annual health insurance contribution settlement

This applies to individuals running a sole proprietorship or partnership in 2024. Remember, the amount of the contribution depends on the chosen form of taxation. By May, it will already be too late to change it.

6. JUNE – until 30/06

• Approval of financial statements

This should generally be completed no later than six months after the balance sheet date. If the balance sheet date falls at the end of the year, as it usually does, the deadline is June 30. After approval, you have 15 days to submit the documents to the National Court Register (KRS).

To sum up

If you’ve marked all the dates in your calendar now, nothing should catch you off guard this year. These deadlines are not just obligations but also a great opportunity to demonstrate that you have everything under control. However, remember what we mentioned at the beginning – each case is unique and some situations may require a more stringent approach.
